Configure Your Sync Settings

Before you initiate the sync, please select your required options from the list below and click 'Save Settings'.
- Export Customer Records: Tick this box to export, create, and/or check customer records with QuickBooks. Remember, a customer must exist in QuickBooks to receive documents. The customer name is defined in Zedonk within the Customer module.
- Export Invoices: Tick to create Invoices in QuickBooks. You can filter by a selection of numbers that should match your Zedonk invoice numbers, or you can enter 00000 - 99999 if you are only using the modified date. Please note: The number of '9's must match the number of digits in your invoices (e.g., for invoice 2019001, you would enter 9999999).
- Export Credit Notes: Tick to create Credit Notes in QuickBooks. Similar to invoices, you can filter by a selection of numbers to match your credit note numbers or use a date-only filter. Please note: The number of '9's must match the number of digits in your credit notes.
- Document Lock Status: Select whether to export only unlocked documents, only locked documents, or both. Documents can be locked in Zedonk to restrict users from amending them. At least one of these options must be selected to export your documents.
- Date Filter: Add an additional date filter to export only documents created or modified on or after a specific date. This is useful for aligning with sales tax submission dates or year-end submissions, and can be matched with your close dates in QuickBooks.
- Select Seasons: Choose to export invoices and credit notes from 'All' seasons or from a specific season in your system.
- Chart of Accounts: Complete the 'Sales of Product Income' and 'Discounts Given' fields with the chart of accounts names from QuickBooks. If these fields are left blank, the first 'Sales of Product Income' account in your QuickBooks account will be used by default.
- Click [Save]
Note: You do not have to select all of the above options; you can choose what to export using the tick boxes and/or the modification date filter.
It is possible that you will get an error message when running your first sync for invoices/credit notes. Please ignore this and run the sync again and it should work correctly.
How Customer Addresses are Mapped from Zedonk to QuickBooks
- Zedonk: Accounts Address > Quickbooks: Billing Address
- Zedonk: Delivery Address > Quickbooks: Shipping Address
If multiple 'Store Addresses' are on the Customer record in Zedonk:
- Zedonk: Store 1 > Quickbooks: Shipping Address
- Zedonk: Store 2 > Quickbooks: Billing Address

This process only needs to be performed after your first sync to QuickBooks.
- From the QuickBooks home screen, click 'Sales & Expenses' > 'Products and Services'.
- You will then see the following options you set up:
- Zedonk Discount
- Zedonk Freight Charge
- Zedonk Products
- Click 'Edit' on each of these entries to confirm their details.
From the drop-down list under 'Income account', select the relevant nominal group and then click 'Save and close'. Repeat this process for the 'Zedonk Freight Charge' and 'Zedonk Discount' entries.

After your initial sync has been performed, you are able to synchronise your customer records, invoices, and/or credit notes.

- Only active invoices and credit notes are exported to Xero, inactive invoices and credit notes are ignored
