Customers - Assign a On Hold Status

Create 'On-Hold Status' options within Customer Settings - Customer On Hold Status first.

This will define what your users can and cannot do when processing an order for this Customer.

Users need to be given system permission in order to assign an 'On-Hold Status' for a customer.

Open the Customer record > General Details tab

In CUSTOMERS, search for and click the customer you want to put on hold

New customers are automatically assigned a default 'On Hold Status' of "Not on hold".

On Hold Status is defaulted for all clients to "Not On Hold"

Select the 'On Hold Status'

Select the status you want to apply for this client

The 'On Hold Status' list is pulled from your system settings. Review Customer Settings - Customer On Hold Status first.

Click [Save]

Example

In the example below, the 'OLD DEBT - NO APPROVED ORDERS / NO SHIPMENTS' on-hold status allows to create/edit orders for the customer, but orders cannot be approved. Delivery notes and Pick Tickets cannot be created/edited, nor marked as shipped.

'Add Pick Ticket' and 'Add Delivery Note' options in the Order Tracker are greyed out.

...I cannot create or edit Pick Tickets and Delivery Notes in the Order Tracker
...my new order will be unapproved and it cannot be approved

Pick Tickets and Delivery Notes cannot be created in the Stock Allocation section.

Existing Pick Tickets and Delivery Notes cannot be modified.

Delivery notes cannot be marked as 'Shipped'.

The 'On-Hold Status' is visible on reports, for example:

  • 'Reports' > 'System Reports' > 'Sales' > 'Customers' > 'Full Customer'
  • 'Reports' > 'System Reports' > 'Sales' > 'Orders' > 'Full Order'
