Sales Orders - Order Import

You can upload a single or multiple sales orders directly into Zedonk by using the Order Import template.

The customer 'Type' will dictate the order 'Type' when imported. 

From Sales Orders dropdown menu select [Order Import]

Or from the dropdown menu:

Select [Download Template] to download .csv template file

This will download a CSV file with the correct headers for you to populate - see below

  1. ORDER REFERENCE (Optional): This field populates the Order Ref field on the Sales Order in Zedonk. If Order Ref is the same in the file for multiple lines, they will be grouped into the same sales order.

    You can create two separate orders for the same customer on one upload: you must give each order a different Order Reference.

  2. CUSTOMER NAME or ACCOUNT CODE: Choose to populate one field only to identify the customer.

    The data entered in either field needs to MATCH exactly what exists in Zedonk. The empty field will be ignored.

  3. STYLE, FABRIC, COLOUR, SIZE or BARCODE: Choose to populate one (set of 4 fields; STYLE, FABRIC, COLOUR, SIZE) or the other (BARCODE) to identify the product and size on the order.

    The data entered in either field needs to MATCH exactly what exists in Zedonk. The empty field will be ignored.

  4. SALES ORDER QUANTITY: input the sales order quantity for each product and size on the order

 

Here are two example of a file ready for import. 

Example 1: This example uses the CUSTOMER NAME and STYLE, FABRIC, COLOUR, SIZE as identifiers.

Example 2: This example uses ACCOUNT CODE and BARCODE as identifiers.

Once complete, Drag and Drop .csv file to import data back it into Zedonk

Choose your Settings according to your file

  • CUSTOMER LOOKUP: select from the dropdown Customer Name or Account Code
  • PRODUCT LOOKUP: select from the dropdown Style, Fabric, Colour, Size or Barcode
  • APPROVED: tick the box for orders to import as approved (see: Approved status)
  • SEASON: select the season from the dropdown to import orders to
  • ORDER OWNER: select the user from the dropdown to assign orders to

Select [Import] to upload the file

The pop-up screen will show you the file is being processed. This will Auto-Refresh every 30 seconds, or you can click the grey button at the bottom to refresh manually.

The import will take from a few seconds to a few minutes, depending on the number of rows in your file. You don't have to stay on this screen. You can click OK, work in a different area of Zedonk, and come back later.

If you have left that screen and now you are back, click on 'View Last Import Log' to re-display the pop-up

This will show you the result of your IMPORT.

Lines imported successfully are in GREEN

Lines that failed are in RED (possibly due to a typo on the file or a record that does not exist in Zedonk)

In Sales Orders, the orders have now been created

Please note that the Order Import tool can only create new sales orders, it cannot update or overwrite existing sales orders.
